Summary¶
Revenue Categorization Structure¶
- Operating income categories: handling revenue (53%), storage (20%), value-added services (9%), transport (11%), freight forwarding (0% for Belgium)
- Limitation: transactions mapped to single category only — can't track both activity type AND customer segment simultaneously
- Factoring complexity: Belgium only sees IC cash requests, not direct ABN factoring receipts
Expense Categories & Vendor Identification¶
- Payroll split: blue collar (CEPG), white collar (SD Works), Social Security (separate SD Works)
- Vendor-based categories: Circle K (fuel cards), DKV (health insurance), Pluxee (meal vouchers)
- Complex categories: equipment leasing (principal + interest combined), IC transfers (loans, dividends, mgmt fees), CapEx (difficult without specific references)
Platform Capabilities & AI Features¶
- LLM-powered categorization using Gemini models
- Custom prompts and rules beyond standard LLM
- Transaction-level learning from user corrections
- Vendor mapping via counterparty names
- Explainability: system explains categorization reasoning via chatbot
Current vs Future State¶
- Current: manual Excel input, half the desired category detail
- Cache Analytics limitations: manual rules, poor help desk, exact match requirements
- Palm automation potential: eliminate manual categorization, increase granularity, provide forecast explanations
Forecasting & Reporting Features¶
- Forecast horizons: weekly (current), daily (launching next month), long-term quarterly
- 13 forecast versions maintained for accuracy tracking
- Budget vs forecast variance analysis with drill-down
- Scenario planning: best/worst/average case
Integration & Access¶
- Teams/Slack chatbot for queries — Matthias wants write capability too (create forecast entries from chat)
- Multiple user permission levels requested
- Cash pool reconciliation, account mapping, IC matching
Why Palm Is Top Choice¶
- Evaluating ~4 vendors including Palm, Kyriba, and a Dutch RPA firm
- Values partnership and commitment over just tools
- Weekly post-sales meeting cadence was extremely attractive — not offered by others
- Concerned about big vendors charging for additional modules
