Bank Account Structure & Data Integration

  • 12 automated accounts: 9 Barclays (Dunelm) + 3 Sunflex

  • Data delivery: MT940 format via Access Pay; preferred order: API > SFTP > Email > Manual
  • Additional low-volume accounts (RBS, Santander) initially handled via spreadsheet

Cash Management Structure

  • Zero Balance Accounts (ZBA) with one deposit account per currency (GBP, EUR, USD)
  • Simple overnight sweep into deposit accounts
  • Surplus cash split across member banks — overnight deposits only
  • Seasonal: cash generative around Christmas
  • RCF facility utilized ~10 months/year (not used during Christmas period)

Historical Data & Categories

  • Historical data from January 2024 onwards needed (available in Excel)
  • Revenue channel granularity needed: PayPal, credit, card, cash payments
  • AI categorization based on vendor names and transaction descriptions

Onboarding Process

  • Phase 1: Historical data analysis and cash flow review
  • Phase 2: Category design workshop
  • Phase 3: Workspace creation and data import
  • Phase 4: 2-week AI training with manual corrections
  • Phase 5: Platform walkthrough and weekly support calls
  • Contract going to committee tomorrow (should be smooth)
